Review recurring tasks with your project managers and estimate the time spent on each.
Review the filing structure
Using a real project: are documents consistently stored in the same place, and are naming conventions used?
Establish the data protection framework
What your client contracts permit and which processes should not yet be automated.
Set priorities
Based on time savings, feasibility and risk. The outcome is a ranked list of priorities.
Follow-up and handover
A written report within one week, followed by a one-hour meeting.
What the detailed solution design contains.
- A process map with the estimated time spent on each task
- An assessment of your project files with specific recommendations for organising them
- A data protection framework: what is permitted, what is not and what needs to be agreed contractually
- A prioritised list of processes offering the greatest potential savings
- An estimate of the effort required for the highest-priority process
