Bid evaluation

Bids and supporting documents become a comparison, evaluation and award recommendation, reviewed in hours rather than days.

The document involved.

After bid opening, several submissions arrive with attachments, alternative bids and bidder declarations. These form the basis for the price comparison, review and award proposal. Deadlines are tight, and an overlooked discount or missing declaration can be costly.

What you receive

  • An arithmetic check of bids, calculation errors and differences between unit and total prices
  • A technical comparison of offered makes and models against the specification, including alternative bids and deviations
  • A commercial evaluation: price comparisons by item and section, outliers, discounts and prompt-payment discounts
  • A checklist for each bidder showing which required declarations and evidence are present or missing
  • A draft award recommendation with reasons, in your template
  • A source reference for every fact, identifying the bid and attachment

The recommendation remains a draft. Your specialist engineer is responsible for evaluation and the award proposal; the client makes the decision. The assistant excludes no bidders and approves nothing.

What your practice needs

  • The tender specification in a structured format, as a GAEB file or spreadsheet
  • Digital bids: bidders' GAEB files or searchable PDFs with attachments
  • The tender evaluation criteria and your award proposal template
  • A designated person with professional responsibility for evaluation
